Information we may collect
When you contact or use The Document Desk, we may receive information such as your name, email address, documents or files you send to us, information needed to prepare your document, correspondence with us, and invoice or payment information.
Please only provide information that is relevant to the service you have requested.
How we use your information
We use your information to:
Provide quotes and respond to enquiries.
Prepare, edit, format or review documents you have asked us to work on.
Communicate with you about your order.
Issue invoices and process payments.
Provide reasonable amendments and customer support.
Keep appropriate business, financial and legal records.
Our lawful basis
Where you ask us to provide a service or take steps before ordering a service, we normally process your information because it is necessary to perform or enter into a contract with you.
We may also process limited information where necessary to comply with a legal obligation or for our legitimate interests in running, protecting and administering The Document Desk.
We do not use your information for unrelated marketing without an appropriate lawful basis.
Sensitive information
Some documents may contain sensitive or special-category personal information. Please avoid sending this unless it is genuinely necessary for the work you have asked us to complete.
Where processing this information is necessary and explicit consent is required, we will ask for your consent. You may withdraw that consent, although this may mean we cannot complete the requested work.
Who we may share information with
We do not sell your personal information.
We may use trusted service providers where necessary to operate the business, including email, website and cloud services, payment providers such as Square, and software used to prepare or manage documents.
Information may also be disclosed where required by law.
AI-assisted document tools
We may use software, including AI-assisted tools, where appropriate to help with drafting, structure, proofreading or formatting.
We aim to minimise the personal information shared with these tools and only use information reasonably necessary for the work requested.
Payments
Payments may be processed through Square. Payment card details are processed by the payment provider and are not stored by The Document Desk.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose it was collected.
Working documents may be retained for a reasonable period after completion to deal with amendments or queries and will then be deleted when they are no longer required.
Certain invoice, transaction and financial records may be kept for longer where required by tax, accounting or other legal obligations.
Keeping information secure
We take reasonable steps to protect customer information and limit access to information that is necessary to provide the requested service.
Your rights
Depending on the circumstances, you may have rights to access your personal information, ask for inaccurate information to be corrected, request deletion or restriction, object to certain processing, receive certain information in a portable format, or withdraw consent where consent is being relied upon.
To exercise your rights, contact:

You also have the right to complain to the Information Commissioner’s Office (ICO) if you are unhappy with how your personal information has been handled.

We may update this Privacy Notice if our services or the way we handle information changes. The latest version will be published on this website.
